The AI-generated briefing is fluent and neatly structured. The reviewer now has to spend an hour discovering where its figures came from. The drafting step became faster by quietly moving the work into verification.
A useful business draft should travel with its evidence. That does not mean adding a decorative bibliography; it means connecting consequential claims with the material that supports them.
Package the input before asking for the output
Identify approved documents, their versions and the task’s scope. Exclude material the tool is not authorised to process. If the assignment depends on current information, establish which source is authoritative and how its date will be checked.
The NIST Generative AI Profile describes risks including confabulation and information integrity. For this workflow, the practical implication is that fluent output still needs evidence and appropriate human verification.
Ask for a reviewable handover
Request the draft, a claim-to-source list and unresolved questions. Where documents are long, include a section or page reference that a reviewer can actually locate. The model should not invent a reference to fill an empty field.
For an illustrative internal summary, “Delivery timing changed” should point to the current approved schedule and identify the relevant milestone. A link to the project’s entire folder is less helpful than a reference to the exact document and section.
Verify the relationship, not just the link
A source can exist and still fail to support the sentence. Check whether the draft changed a condition, omitted a qualification or combined figures from different periods. Pay particular attention to names, dates, amounts and claims that affect a decision.
Mark material that requires a subject-matter owner. A general reviewer should not be forced to approve a technical or legal conclusion merely because the document has reached the final formatting stage.
Retain only what the process needs
Store the approved version and necessary evidence according to the organisation’s access and retention rules. Do not let temporary prompts and copied source material create an uncontrolled second repository of sensitive information.
Measure the time to an approved, accurate result rather than the time to first draft. An output that arrives with traceable support may look less magically complete, but it gives the next person a fair chance to check the work instead of reconstructing it.
